With Miva Merchant 5 you can export affiliate information to a flat file - a plain-text file containing set types of data, separated by a tab or text character. You can edit this file in any text editor, or import it into a spreadsheet. Use the data elsewhere, or edit it and import the results back into Miva Merchant.
Enter the name of the file to which you will export the affiliate information. The default name is affiliates.dat.
You might find it useful to include the date or other detail in the file name, such as affs-EOY-2006.dat. The file will be saved on the server, under Merchant5/s01/export/filename.dat, where s01 indicates your first store. If you have additional stores, the directory will correspond to the store number (s02, s03, etc.).
Specify how each data field in a record will be separated from the next. Tab-delimited flat files are common. You can use any character, such as a comma, or a vertical line ("pipe") character: |. Be aware that if the specified character appears in a affiliate's date, such as the comma in "1234 Main Street, Suite B", that will be interpreted as a break between one field and the next. Choose a character that is not used in any affiliate data.
Specify how you want the data handled if a file of the same name as that you have specified already exists. Select Append To File to have the newly-exported data added on to the end of the existing file. Select Replace File to discard the earlier version, and save only the data currently being exported.
Check each box for the type of data that is to be exported. For each type of date, select the specific fields to be exported under each of the corresponding tabs (Affiliates, Earnings, and Payouts).
Click Export at any point, after selecting the desired fields on all of the tabs. That is, you can switch between the four tabs on this screen, making selections on each, then click Export from any of the tabs when you are ready to create the flat file.
The file is located in your Miva Merchant data directory on your domain. If you need assistance finding the directory, contact your hosting service.
Select the affiliate information fields you want to export, such as contact name and address, and commission information. Most of the fields are self-explanatory. Here are explanations of some of the less obvious ones:
Pass. Recovery E-mail is the e-mail address where your Miva Merchant store will send the affiliate's password, in case they forget it and request a reminder. This was originally set up as the Lost Password E-mail, under Edit Affiliate / Identification.
Status is the current state of the application to be an affiliate. This was originally specified under Application Status, on the Edit Affiliate / Identification tab.
Hits is the Commission Per Referral (note, it is not the number of referrals) that was specified under Edit Affiliate / Commission.
Percent is the Commission Percent of Order from Edit Affiliate / Commission.
Flat is the Commission Flat Fee per Order from Edit Affiliate / Commission.
Click Export at any point, after selecting the desired fields on all of the tabs. That is, you can switch between the four tabs on this screen, making selections on each, then click Export from any of the tabs when you are ready to create the flat file.
Select the earnings fields to include in the exported data. This information is the same as that you would see under Edit Affiliate / Earnings.
